We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As a key support member, you will play an essential role in ensuring smooth office operations, supporting loan officers, and assisting with various administrative tasks. Responsibilities:
- Answering phone calls and handling client inquiries in a professional and courteous manner, ensuring that clients receive prompt and accurate information regarding their mortgage applications or loan status.
- Managing schedules and appointments for loan officers and the management team, coordinating daily activities and meeting schedules to ensure efficiency and timely follow-ups.
- Preparing and organizing mortgage application documents, ensuring all necessary paperwork is collected, processed, and stored in accordance with company policies and regulatory guidelines.
- Assisting with loan processing by maintaining accurate records, updating client files, and coordinating with other departments to ensure smooth processing of loan applications.
- Coordinating office supplies and maintaining office inventory, ensuring that necessary office materials are readily available, while managing supply orders and staying within budget.
- Assisting with customer service tasks, including providing updates on application statuses, addressing client concerns, and resolving any issues in a timely and professional manner.
- Handling incoming and outgoing mail and packages, ensuring that important documents are distributed promptly and correctly, with proper documentation for tracking purposes.
- Managing databases and preparing reports for internal use, tracking key metrics, ensuring data accuracy, and contributing to various reporting needs across departments.
- Performing general administrative duties such as data entry, filing, organizing documents, and assisting with special projects as needed to support office efficiency.
Qualifications:
- High school diploma or equivalent required; an associate degree or relevant certifications in business administration or a related field is preferred to demonstrate foundational knowledge and commitment to the role.
- 1-2 years of experience in an administrative role, ideally within the mortgage, real estate, or financial services industry, providing a solid understanding of the industry’s operational needs.
- Strong organizational skills with the ability to multitask and prioritize effectively, managing multiple responsibilities simultaneously while ensuring timely and accurate completion of tasks.
- Excellent written and verbal communication skills, enabling effective interaction with clients, team members, and external stakeholders to maintain a positive and professional office environment.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook), with the ability to create documents, manage spreadsheets, and utilize email effectively to support various office functions.
- Ability to work well independently and as part of a team, showing initiative and responsibility while collaborating with others to achieve company goals and objectives.
- A high level of attention to detail and accuracy, ensuring that all work, particularly document management and data entry, is error-free and consistent with company standards.
Compensation:
- Salary range: $45,000 - $55,000 annually.
- Full-time, in-office role (Monday through Friday).
