As they continue to grow, we are looking for a skilled Property Administrator to join the dynamic team.
The Property Administrator will oversee day-to-day administration, tenant relations, and property management support across our portfolio. Responsibilities include coordinating lease agreements, tenant communication, maintenance, and assisting with financial and property documentation. This role requires a valid driver’s license, access to a personal vehicle, and the ability to travel to various properties as needed.
Key Responsibilities:
Tenant and Lease Management
- Serve as the primary contact for tenants, handling inquiries, concerns, and lease documentation, including renewals and terminations.
- Coordinate move-ins and move-outs while ensuring tenants are informed about lease terms, rent increases, and notices.
- Assist in property marketing, conduct property showings, and support leasing outreach.
Property Administration
- Maintain accurate records of lease agreements, insurance documents, tenant information, and payment histories.
- Assist in preparing property reports, budgets, financial statements, and year-end documentation.
- Keep organized records of all property communications, notices, and updates.
Maintenance and Vendor Coordination
- Manage maintenance requests, working with vendors and contractors to ensure timely repairs and compliance with property standards.
- Oversee construction and renovation tasks as needed and liaise with city officials for permits and compliance.
Financial and Accounting Support
- Process rent payments, manage accounts payable/receivable, and track overdue accounts.
- Assist with budgeting, expense reporting, and cash management.
- Coordinate with the accounting team for vendor payments and expense reports.
Office and Administrative Support
- Act as the first point of contact for office visitors, phone inquiries, and mail distribution.
- Handle general office duties such as scheduling, correspondence, and maintaining office supplies.
- Maintain CRM systems (e.g., Salesforce) to manage tenant communications and ensure data accuracy.
Qualifications:
- Experience in property management, real estate administration, or a related field.
- Strong organizational, multitasking, and communication skills, with a focus on customer service.
- Proficiency in property management software and MS Office Suite; familiarity with real estate accounting software (e.g., Yardi) is an asset.
- Knowledge of local real estate laws and lease administration.
- Mandatory: Valid driver’s license and access to a personal vehicle.
- Bilingual in French and English is preferred.
Compensation:
- Competitive salary of $50,000 - $60,000 annually, based on experience, plus bonuses.
