Position Overview
We are seeking a full-time Office Manager responsible for ensuring efficient office operations and providing direct support to our executive team. The ideal candidate is extremely detail-oriented, organized, proactive, and a natural team player. This role requires a professional with strong communication skills, who can handle numbers and follow established processes without needing constant reminders. Familiarity with the energy industry and a background as an office manager or executive assistant is preferred but not required.
Key Responsibilities
- Oversee all office operations, including daily workflows, staff coordination, and resource allocation to maintain efficiency and ensure all departments function smoothly. Address operational issues promptly to minimize disruption.
- Handle RFP setup and pricing by coordinating proposal requests from initial setup through final pricing, working with relevant departments to ensure competitive and accurate proposals.
- Provide client support by responding to inquiries and managing client requests with a high degree of professionalism, fostering positive relationships and enhancing client satisfaction.
- Offer sales support by assisting the sales team with project coordination, preparing materials, managing follow-ups, and tracking project milestones to support successful deal closures and client retention.
- Manage administrative tasks by handling all general office communications, including email and phone correspondence, to ensure timely responses and professional representation of the organization.
- Oversee documentation management, organizing all incoming and outgoing documents, maintaining confidentiality, and establishing orderly systems to support easy retrieval and compliance with data security protocols.
Skills and Requirements
- Proven experience in office management or as an executive assistant; experience within the energy brokerage sector is advantageous but not required. This background demonstrates familiarity with managing complex workflows and supporting executive functions.
- Experience in energy procurement is preferred, as it will provide a strong foundation for success in this role.
- Skilled in Microsoft Excel and Office 365, with strong technical abilities to efficiently handle data management, document creation, and report generation within these tools.
- Strong organizational skills with meticulous attention to detail, enabling consistent adherence to processes and strong follow-through on tasks, even without supervision.
- Financial savvy, with a good grasp of numbers and basic budgeting principles, allowing for informed support in financial tasks and budget management.
